General Terms and Conditions of Participation for joint trade fair stands of the Landesentwicklungsgesellschaft Thüringen mbH (LEG Thüringen) in Germany and abroad

1. Registration and Admission

The final registration for participation is carried out digitally via the booking tool "Profairs" of LEG Thüringen by booking a booth. By finalizing the booking of your booth package, you accept the present General Terms and Conditions of Participation. The registration must not contain any conditions or reservations, otherwise it will not be considered. The registration for participation must be received no later than the registration deadline. The registration is an irrevocable contractual offer to LEG Thüringen. The registration does not yet establish any entitlement to admission or to a specific size and location of the booth. The registrant will receive from LEG Thüringen, provided the company-specific requirements are met, the minimum number of participants is reached, and there are no more registrations than exhibition space available, an admission confirmation for acceptance of the offer. If the content of the admission confirmation deviates from the content of the registration, the contract is concluded in accordance with the admission confirmation, unless the registrant objects in writing within one week. There is no entitlement to the allocation of specific requested spaces, location, or character. Claims against LEG Thüringen regarding location or character are excluded.

Furthermore, the following provisions apply:

  1. Co-exhibitors who have not fulfilled their financial obligations from previous events may be excluded from participation. 
  2. The co-exhibitor or its sub-exhibitor may not make any statements or take any actions that are discriminatory (in any respect), violate human dignity, or call into question the free and democratic basic order of the Federal Republic of Germany. 
  3. LEG Thüringen is entitled to revoke the admission at any time if it was granted based on incorrect prerequisites or information, or if the admission requirements subsequently cease to apply. The co-exhibitor's fault is not relevant in this regard. 
  4. The contractual partners are LEG Thüringen and the registered co-exhibitor. Partial or complete subletting of the stand is not permitted unless LEG Thüringen has expressly consented to it.

2. Organization

The LEG Thüringen manages the entire planning and implementation of the Thuringian trade fair appearance. The Contact to the service provider for trade fair construction in the implementation of the trade fair concept is carried out in coordination with the co-exhibitors by the LEG Thüringen.

  • The basis of the trade fair concept is a joint appearance of all partners with uniform design elements in the corporate design of the Free State of Thuringia. Wishes and suggestions of co-exhibitors regarding the stand design are recorded and examined and, if necessary, incorporated into the design of the trade fair stand. 
  • There is no entitlement to a specific stand cut. 
  • Placing your own trade fair equipment (roll-ups, posters, furniture, etc.) is generally not permitted. In exceptional cases, a review by LEG Thüringen is possible. 
  • After allocation of the stand areas, exhibitors will be informed in text form about matters concerning the preparation and execution of the joint exhibition. The exhibitor shall be solely responsible for any consequences arising from non-compliance with these circulars.
  • The LEG Thüringen conducts a short online feedback survey following the Trade Fairs. As an exhibitor, you undertake to participate in the survey.

3. Overbooking

Should the stand be overbooked, the time of receipt of the registration is decisive for the consideration of participation in the Thuringian joint stand.

4. Package Prices

The price includes: 

  • proportional, eligible expenses according to the registered square meters (stand rental, rental of basic stand construction equipment)
  • proportional, non-eligible expenses according to the registered square meters (e.g., stand catering)

The prescribed hygiene standards due to Covid 19 or similar are taken into account in the stand design. Any additional costs arising from this are included in the package price. 

Additional equipment requests not included in the package (e.g., rental for display cases, bases, shelves, etc.) can be booked for a fee upon consultation. 

All costs for stand construction and stand area are to be understood as rental costs. They entitle the exhibitor to use the stand during the trade fair period. Taking the stand or parts of the stand with you after the trade fair is not permitted.

5. Travel expenses

Travel expenses (e.g., flight, accommodation) are not eligible for funding and must be borne in full by each participant themselves. 

The travel organization is the responsibility of the exhibitor, whereby LEG Thüringen can provide advisory support. 

6. Exhibitor and parking permits

The fees for chargeable IDs will be invoiced to the co-issuers based on consumption.

7. Stand supervision

By participating in the joint stand, you undertake to staff your stand during the opening hours specified by the trade fair.

8. Image and sound recordings

The LEG Thüringen and third parties commissioned by it are entitled to have photographs, drawings, and film and video recordings made of the exhibition events, exhibition structures and stands, and exhibition objects, and to use them for advertising or press publications. This also applies to recordings made by the press or television with the consent of the LEG Thüringen. The co-exhibitor expressly agrees to this with their registration.

9. Liability and Insurance

LEG Thüringen assumes no liability for damage to or loss of goods of co-exhibitors at the trade fair. Each participant must independently ensure adequate insurance coverage for their area by concluding suitable contracts.

10. Exclusion and Contractual Penalty

The LEG Thüringen reserves the right to reject at any time exhibits, presentations and co-exhibitors that do not meet the stated conditions, subject to a contractual penalty of three times the exhibitor fee.

11. Accounting

LEG Thüringen appears as the main exhibitor and therefore receives all invoices directly from the organizer. The settlement is carried out by LEG Thüringen. The prices in the registration are calculation examples and are prepared on the basis of planned costs. Deviations are possible due to changes, e.g., in stand size and number of co-exhibitors. Invoicing takes place after trade fair participation and settlement of the overall project with the actual costs. The payment deadlines stated in the invoice must be observed. 

12. Withdrawal/Termination of Contract

The co-exhibitor is entitled to withdraw from the contract within a period of 14 days after the binding registration.

If the co-issuer declares their withdrawal after this deadline, the co-issuer is obliged to make the following payment:

  • Withdrawal from 14 days after registration: 100% of participation fees without subsidy
  • If the booth space can be sublet, LEG Thüringen charges a flat-rate compensation of 10% of the participation price without funding.
  • If the exhibition space can only be partially sublet, the co-exhibitor is proportionally liable for the space that is not sublet. In this case, LEG Thüringen charges a flat-rate compensation of 75% of the participation price without subsidy for the space that is not sublet. In this case, the co-exhibitor is granted the right to provide evidence that the main exhibitor has suffered no or lower damage.

There is an extraordinary right of termination for co-exhibitors who have applied for funding from the Thüringer Aufbaubank and have not received this funding due to missing requirements. This right of termination may be exercised no later than 12 weeks before the first day of the trade fair (date of receipt).

Non-participation must be declared in writing.

If the trade fair is canceled due to force majeure, in particular as a result of a pandemic, war, official orders, natural disasters or comparable unforeseeable events, the co-exhibitors will be charged a proportionate share of the actual costs incurred up to that point, such as contracts with third-party providers.
