General terms and conditions of participation for joint exhibition stands of the Thuringian State Development Corporation (LEG Thüringen) at home and abroad

1. Registration and admission

Final registration for participation is completed digitally via the LEG Thüringen booking tool "Profairs" by booking a booth. By finalizing your booth package booking, you accept these General Terms and Conditions of Participation. Registration must not contain any conditions or reservations; otherwise, it will not be considered. Registration must be received by the registration deadline. Registration constitutes an irrevocable offer to LEG Thüringen. Registration does not guarantee admission or a specific booth size or location. Provided the company-specific requirements are met, the minimum number of participants is reached, and there are no more registrations than available exhibition space, LEG Thüringenwill send the applicant a confirmation of admission to accept the offer. If the content of the admission differs from the content of the registration, the contract will be concluded according to the terms of the admission, unless the applicant objects in writing within one week. There is no entitlement to the allocation of specific requested spaces, locations, or booth types. Claims against LEG Thüringen regarding location or type are excluded.

Furthermore, the following provisions apply:

  1. Co-exhibitors who have not met their financial obligations from previous events may be excluded from admission. 
  2. The co-exhibitor or its sub-exhibitors may not make any statements or undertake any actions that are discriminatory (in any respect), are directed against human dignity or call into question the free and democratic basic order of the Federal Republic of Germany. 
  3. LEG Thüringen is entitled to revoke the authorization at any time if it was granted based on false information or if the authorization requirements subsequently cease to apply. The fault of the co-issuer is irrelevant in this regard. 
  4. The contracting parties are LEG Thüringen and the registered co-exhibitor. Partial or complete subletting of the stand is not permitted unless LEG Thüringen has expressly agreed to it.

2. Organization

LEG Thüringen is managing the entire planning and implementation of Thuringia's trade fair appearance. LEG Thüringencoordinates with the co-exhibitors to Contact the service provider for stand construction during the implementation of the trade fair concept.

  • The trade fair concept is based on a joint presentation by all partners with uniform design elements in the corporate design of the Free State of Thuringia. Wishes and suggestions from co-exhibitors regarding the stand design are recorded and reviewed, and may be incorporated into the stand design. 
  • There is no entitlement to a specific stand layout. 
  • The placement of your own trade fair equipment (roll-up banners, posters, furniture, etc.) is generally not permitted. In exceptional cases, an inspection by LEG Thüringen is possible. 
  • Exhibitors will be informed in writing about the preparation and execution of the joint exhibition after their stand spaces have been allocated. Exhibitors are solely responsible for any consequences arising from failure to comply with these instructions.
  • Following the trade fairs LEG Thüringen conducts a short online feedback survey. As an exhibitor, you are obligated to participate in the survey.

3. Overbooking

Should the stand become overbooked, the time of receipt of the registration will be decisive for consideration of participation in the Thuringian joint stand.

4. Package prices

Included in the price are: 

  • Proportional, eligible expenses according to the registered square meters (stand rental, basic stand equipment rental)
  • Proportional, non-eligible expenses according to the registered square meters (e.g. stand catering)

The required hygiene standards due to Covid-19 or similar regulations will be taken into account in the stand design. Any resulting additional costs are included in the package price. 

Additional equipment requests not included in the package (e.g., rental of display cases, base units, shelves, etc.) can be booked for an additional fee upon request. 

All costs for stand construction and stand space are considered rental costs. They entitle the exhibitor to use the stand for the duration of the trade fair. Taking the stand or parts of the stand away after the trade fair is not permitted.

5. Travel expenses

Travel expenses (e.g., flight, accommodation) are not eligible for funding and must be borne in full by each participant. 

The exhibitor is responsible for organizing the travel, although LEG Thüringen can provide advisory support. 

6. Exhibitor and parking passes

The fees for paid ID cards will be billed to the co-issuers after consumption.

7. Booth support

By participating in the joint stand, you commit to staffing your stand during the opening hours specified by the trade fair.

8. Image and sound recordings

LEG Thüringen and its commissioned third parties are entitled to have photographs, drawings, and film and video recordings made of the exhibition, the exhibition structures and stands, and the exhibits, and to use them for advertising or press publications. This also applies to recordings by the press or television with the consent of LEG Thüringen. The co-exhibitor expressly agrees to this upon registration.

9. Liability and Insurance

LEG Thüringen accepts no liability for damage to or loss of goods belonging to other exhibitors at the trade fair. Each participant is responsible for independently securing the necessary insurance coverage for their own area by taking out appropriate policies.

10. Exclusion and contractual penalty

LEG Thüringen reserves the right to reject any exhibits, presentations and co-exhibitors that do not comply with the aforementioned conditions at any time, subject to a contractual penalty of three times the exhibitor fee.

11. Accounting

LEG Thüringen is the main exhibitor and will therefore receive all invoices directly from the organizer. Billing is handled by LEG Thüringen. The prices listed in the registration form are sample calculations based on planned costs. Deviations are possible due to changes such as booth size and the number of co-exhibitors. Invoicing will take place after the trade fair and final settlement of the entire project, reflecting the actual costs. Payment deadlines specified in the invoice must be met. 

12. Withdrawal/Termination of Contract

The co-exhibitor is entitled to withdraw from the contract within a period of 14 days after the binding registration.

If the co-exhibitor declares his withdrawal after this deadline, the co-exhibitor is obliged to make the following payment:

  • Cancellations made 14 days or more after registration: 100% of the participation fees without subsidies
  • If the stand space can be sublet, LEG Thüringen charges a flat-rate compensation fee of 10% of the participation price excluding subsidies.
  • If the booth space can only be partially sublet, the co-exhibitor is liable proportionally for the unsublet area. In this case LEG Thüringen charges a flat-rate compensation fee of 75% of the participation fee (excluding subsidies) for the unsublet area. The co-exhibitor has the right to prove that the main exhibitor incurred no damage or a lesser amount of damage.

Co-exhibitors who have applied for funding from the Thuringian Development Bank and do not receive this funding due to a lack of eligibility have the right to terminate their participation. This right of termination can be exercised no later than 12 weeks before the first day of the trade fair (date of receipt).

Non-participation must be declared in writing.

Should the trade fair be cancelled due to force majeure, in particular as a result of a pandemic, war, official orders, natural disasters or similar unforeseeable events, the co-exhibitors will be charged a proportionate share of the actual costs incurred up to that point, such as contracts with third-party providers.
